In addition, we process personal data for purposes directly related to our archival, research, and educational activities. These include, in particular, the administration and cataloguing of the archive holdings, communication with researchers, institutions, collectors, and the interested public, the implementation of joint research and publication projects, the maintenance of the website and social media presence, and the organization of events. We also process data to send newsletters, analyze and optimize website usage, and ensure the technical processes of archive operations. The legal basis for data processing is Art. 31 para. 1 DSG (Switzerland) or, where applicable, Art. 6 para. 1 lit. a) GDPR (European Union).
We will only publish the personal data collected from you as the owner of a work in the online or printed catalog of works if you have expressly consented to this. Publication is limited to the scope and wording agreed in advance.
4. Data transfer to third parties
We work with various partners and service providers who may have access to personal data within the scope of their contractual duties. These include, in particular, research partners who support us in carrying out scholarly analysis and publication, as well as technical service providers who help us manage, maintain, and secure our inventory and IT infrastructure. All partner companies and technical service providers are contractually obliged to process the data only for the agreed purposes and to take appropriate technical and organizational measures to protect personal data.
5. Data transfer to other countries
Personal data may be transferred to recipients in other countries if this is necessary to fulfill the aforementioned purposes. Transfers to Germany are permissible under data protection law on the basis of the adequacy decision between Switzerland and the European Union. If data is transferred to a country that does not guarantee an adequate level of data protection, we ensure that appropriate safeguards are in place, for example in the form of standard contractual clauses or the express consent of the persons concerned.
6. Web analytics (without cookies)
Our website uses the Matomo web analytics service to evaluate the use of our pages and continuously improve our offering. Matomo is hosted locally on our own servers for this service. Matomo is operated in a privacy-friendly manner and without the use of cookies. No personal data is stored. Only technical information such as the anonymized IP address, pages accessed, the type of device used, operating system, or browser is collected. The IP address is immediately anonymized so that no conclusions can be drawn about individual persons. The collected data is not passed on to third parties. Processing is based on our legitimate interest in a user-friendly, stable, and optimized website.
7. Newsletter distribution
We use Rapidmail to distribute our newsletters. The provider is Positive Group Deutschland GmbH, Wentzingerstraße 21, 79106 Freiburg, Germany. Rapidmail helps us organize and analyze the dispatch of newsletters. The data you enter for the purpose of receiving the newsletter is stored on Rapidmail’s servers in Germany.
If you do not want Rapidmail to process and analyze your data, you must unsubscribe from the newsletter. We provide a link for this purpose in every newsletter message.
For analysis purposes, emails sent with Rapidmail contain a tracking pixel that connects to Rapidmail’s servers when the email is opened. This allows us to determine whether a newsletter message has been opened. In addition, Rapidmail allows us to track whether and which links in the newsletter were clicked on. Optionally, links in emails can be set as tracking links, enabling us to count your clicks.
The recipient of the data is Positive Group Deutschland GmbH. The data will not be transferred to other third countries.
The data stored by us as part of your consent for the purpose of the newsletter will be stored by us until you unsubscribe from the newsletter and will be deleted from both our servers and the servers of Rapidmail after you unsubscribe from the newsletter. Data stored by us for other purposes (e.g., email addresses from contact requests) remains unaffected by this. You have the option to revoke your consent to data processing at any time with future effect. 8. Social media
We maintain a presence on Instagram. When users interact with us via this platform, personal data may be transferred to Meta Platforms Ireland Ltd. We have no influence on the nature and scope of data processing by Instagram. For more information, please refer to Instagram’s privacy policy.

Your personal data will only be stored for as long as is necessary to fulfill the aforementioned purposes or as long as we are legally obliged to do so.
